In these Terms, "Guest Farm Kiripotib" means the accommodation provider. "Booker" means the person who makes the booking and enters into the booking contract. "Guest" means any person who stays at or uses services of Guest Farm Kiripotib under the booking.

These Terms apply to all contracts for accommodation and related services concluded with Guest Farm Kiripotib, regardless of whether the booking is made through the online booking system, by email or by direct contact with Guest Farm Kiripotib.

By submitting a booking request, the Booker confirms acceptance of these Terms. Only the English version of these Terms is legally relevant. Any German version is provided for internal review and convenience only.

The online booking portal allows the Booker to select services such as accommodation, meals, transfers and Astro equipment. After completing the online booking process, the Booker receives an automatic email confirming receipt of the request and summarising the selected services. This first email is only an acknowledgement of receipt and does not create a contract.

The booking is then checked manually by Guest Farm Kiripotib. If Guest Farm Kiripotib accepts the booking, the internal booking status is changed to confirmed. This status change triggers a second automatic email to the Booker confirming the booking. The invoice is attached to this second email. The contract is concluded only when this booking confirmation email with invoice is sent to the Booker.

The Booker is asked to check the booking confirmation and invoice and to notify Guest Farm Kiripotib without delay if any details appear incorrect.

There are no separate printed or PDF price lists for website bookings. The applicable prices are displayed in the online booking system during the booking process for the selected services. These prices form the basis of the Booker's booking request.

Depending on the type of booking, prices may be displayed and invoiced either in Namibian Dollar (NAD) or in Euro (EUR). The currency shown during the booking process and on the invoice is the applicable currency for that booking. Where prices are stated in Namibian Dollar, the Namibian Dollar is equivalent to the South African Rand.

Obvious errors in the booking system, including incorrect prices, incorrect availability or other obvious technical or calculation errors, do not create a right to the incorrect price or service.

Guest Farm Kiripotib may adjust prices before a booking contract is concluded, including where taxes, levies, exchange-rate handling, payment charges or other mandatory costs change, or where severe and unusual increases in operating costs make an adjustment necessary. After the booking contract has been concluded, the invoiced price applies unless a change is required by mandatory law or agreed with the Booker.

For booking periods that are far in the future, the final prices for the requested travel period may not yet have been released in the booking system. In such cases Guest Farm Kiripotib may record the request or confirm availability on a preliminary basis. Such preliminary communication does not create a booking contract.

Once the applicable prices have been released, Guest Farm Kiripotib may send a booking confirmation email with invoice. The contract is concluded only when this booking confirmation email with invoice is sent. After receiving this invoice, the Booker may withdraw from the contract free of charge within 14 calendar days. Cancellation fees under section 15 do not apply in that case. If the Booker does not withdraw within 14 calendar days, the normal cancellation policy applies.

The following services may be booked through the online booking system, where available: accommodation, meals, transfers and Astro equipment.

Activities and laundry services cannot be booked through the online booking system. They may only be requested and booked on site. Availability, prices and times are governed by the information provided on site.

A booking may include more than one accommodation type if this is available in the booking system or confirmed by Guest Farm Kiripotib.

Check-in is from 14:00 on the day of arrival. Check-out is by 10:00 on the day of departure. Different times are only possible if agreed with Guest Farm Kiripotib and subject to availability.

Children of all ages are welcome at Guest Farm Kiripotib and remain the responsibility of their parents, legal guardians or accompanying adults.

Infants are children aged 0 to 2 years. Children are guests aged 3 to 13 years. All guests aged 14 years and older count as adults.

Infants aged 0 to 2 years stay free of charge. A separate cot or extra bed is subject to availability and must be requested separately.

Children aged 3 to 13 years receive a children's reduction on the applicable adult price for accommodation and meals. The exact reduction depends on the booking type (e.g. accommodation, astronomy or group rates) and is shown transparently during the booking process. Children requiring their own room may be charged at adult rates.

Unless expressly stated otherwise, children pay the full price for all other services, including transfers, activities, Astro equipment, third-party services and other extras.

Dates of birth do not need to be entered during the booking process, but Guest Farm Kiripotib may request reasonable proof of age if a child rate is claimed.

For Chalets and Guest Rooms, breakfast and dinner are included unless the booking system expressly shows otherwise. Campsites are generally offered as self-catering. Additional meals may be booked through the booking system where available or requested on site.

For Astro bookings, the Astro package includes breakfast, coffee and cake, dinner and night catering in the warm-up hut, unless the booking confirmation states otherwise.

Guests are asked to inform Guest Farm Kiripotib as early as possible about dietary requirements, allergies or medically relevant food restrictions. Guest Farm Kiripotib will make reasonable efforts to accommodate such requests but cannot guarantee that all requirements can be met.

Activities can only be requested and booked on site at reception. Availability, prices and times are governed by the information provided on site. Activities are subject to weather, safety and operational feasibility.

After the booking has been confirmed, the invoice is sent to the Booker by email together with the booking confirmation. The invoice states the deposit amount and the total booking amount.

A deposit of 25% of the invoiced amount is due as soon as possible after receipt of the booking confirmation and invoice, but no later than 14 calendar days after that email has been sent. The full invoiced amount must be paid no later than 30 calendar days before arrival.

For bookings confirmed less than 30 calendar days before arrival, the full invoiced amount is due immediately after the booking confirmation and invoice have been sent, unless the invoice states a different payment period.

An automated payment reminder may be sent before a due date. Guest Farm Kiripotib may also send a manual reminder after a due date. The absence of a reminder does not extend the payment deadline.

If a due payment is not received on time, Guest Farm Kiripotib may withdraw from the booking contract without further reminder. If cancellation fees would have applied under section 15 if the Booker had cancelled at that time, the corresponding amount remains payable.

The amount invoiced with the booking confirmation must be paid by bank transfer. No payment fee is charged by Guest Farm Kiripotib for this bank transfer. Services purchased on site during the stay are settled at the end of the stay. On-site payment may be made in cash without a payment fee or by card with a 2.5% card fee.

For bank transfers, the booking number or invoice number must be used as payment reference.

After confirmation, changes are only possible if accepted by Guest Farm Kiripotib. If a change increases the price, the Booker must pay the difference. If a change reduces or cancels parts of the booking, the cancellation policy may apply.

Cancellations by the Booker must be made in writing. A cancellation is processed only after Guest Farm Kiripotib has received it.

Travel and health insurance is strongly recommended. In cases of serious illness or death, Guest Farm Kiripotib may review cancellation fees on a case-by-case basis. A medical certificate or other suitable proof may be required. There is no automatic entitlement to a waiver.

The applicable cancellation percentages and their calculation bases are set out in section 15.

The following cancellation policy applies to all bookings — including bookings with Astro equipment or Astro-specific pricing — unless the booking confirmation states a special cancellation policy.

Deviating cancellation terms may result from separate contracts or written arrangements (for example with tour operators or for group bookings). In that case, the terms agreed there prevail over the table below.

Calculation bases: the 25%, 50% and 75% tiers are calculated on the invoiced accommodation and catering amount of the cancelled booking or cancelled part of the booking (excluding Astro equipment rental and separately recorded extra services). The 100% tier is calculated on the total invoiced booking amount, including Astro equipment and all other invoiced services.

For early cancellations where the table refers to 15% of the deposit amount, Guest Farm Kiripotib may retain 15% of the deposit already paid as an administrative and refund handling fee. If no deposit has been paid, this specific early cancellation fee does not apply.

No-shows are charged at 100% of the total invoiced booking amount. Late arrivals, early departures and unused booked services are not refundable unless Guest Farm Kiripotib agrees otherwise.

Guest Farm Kiripotib may withdraw from the booking contract if a due payment is not received on time, if the booking is based on an obvious error, if the Booker has provided false or materially incomplete information, if performance becomes impossible due to force majeure or legal reasons, or if the Booker or Guests breach material obligations under these Terms.

If Guest Farm Kiripotib withdraws for a reason not caused by the Booker and not covered by force majeure, amounts already paid for services not provided will be refunded.

Guests must behave respectfully towards other guests, staff, animals, property and the natural environment. Parents, legal guardians and accompanying adults are responsible for the safety, behaviour and supervision of children travelling with them.

Guests are liable for damage caused by themselves, their children or other persons travelling with them. Guest Farm Kiripotib may refuse services or remove guests from the premises if guests behave dangerously, unlawfully, abusively or in a way that puts other guests, staff, animals or property at risk. No refund is due where services are cancelled or guests are removed due to guest misconduct.

Guests must inform Guest Farm Kiripotib of relevant medical circumstances, mobility restrictions, allergies, dietary restrictions or other requirements that may affect their stay or participation in activities. Guest Farm Kiripotib will make reasonable efforts to assist but cannot guarantee that all requirements can be accommodated.

Guests with mobility restrictions or accessibility requirements should contact Guest Farm Kiripotib before booking. Not all rooms, areas, paths or facilities may be suitable for guests with reduced mobility.

Guests participate in activities and farm-related experiences at their own risk and must follow instructions given by Guest Farm Kiripotib staff or guides.

Guest Farm Kiripotib is not liable for failure to perform or delay in performing its obligations where this is caused by circumstances beyond its reasonable control. Such circumstances include events such as war, civil unrest, terrorism, fire, flood, drought, severe weather, epidemic, pandemic, quarantine restrictions, government action, border closures, transport disruption, labour disputes, power failures, water shortages, acts of God, wildlife-related incidents or comparable events outside the control of Guest Farm Kiripotib.

In such cases, Guest Farm Kiripotib may amend, postpone or cancel affected services. Refunds, if any, will be assessed according to the circumstances and any non-recoverable costs incurred.

Guest Farm Kiripotib processes personal data for the purpose of handling booking requests, confirming reservations, issuing invoices, processing payments, communicating with guests, providing booked services and complying with legal obligations.

These Terms are governed by the laws of the Republic of Namibia.

If any provision of these Terms is invalid, unlawful or unenforceable, the remaining provisions remain valid and enforceable.
